Tip #10: Use voice-to-text to quickly reply to emails

Most people can talk faster than they can type. I write and respond to many emails using voice-to-text while walking!

I prefer to open the Gmail app on my phone to use the voice-to-text feature of my phone’s Google keyboard.

Tip #9: Snooze emails if you don’t need them for a while

When you get an email that you will need later or don’t want to deal with until a later time, you can snooze the email!

Tip #8: Use labels for your emails

A few years ago, we switched from Outlook to Gmail at school and all of the folders converted into labels in Gmail. I cleaned most of those out and started fresh.

Labels are similar to folders in Outlook. You may have a lot of labels imported from Outlook, I recommend deleting them. create new labels: click the + sign by the Labels list in the menu or click the label icon → type a label name → the name will appear with “Create new, click the that text add labels to emails if using keyboard shortcuts: with email open, type “l” → begin typing the name of your label → when it is highlighted, hit enter

Tip #7: Make filters to automatically manage your inbox

I like to make filters for any of my administrators so I don't miss any of their emails!

create a filter: click the search options button in the search bar → enter information into at least 1 of the search options → click “Create filter” → select actions you want the filter to do → click “Create filter” filter suggestions: - if it is from principal: star it, apply label “From admin,” and mark as important - if it is something I don’t need to read: mark as read, archive it Note: you can edit filters in the settings menu

Tip #6: Mute emails when someone hits “Reply all” or accidentally emails all staff

This happens multiple times in a year and you just know someone is going to reply all telling everyone to "stop replying all." Just mute the conversation!

when this happens: open the email → click the 3 dots above the conversation→ select “Mute” sit back and relax knowing you won’t get 30 emails that either say “stop replying all” or “please remove me” there is also a meme with Willy Wonka saying "Oh, you hate it when people reply all? Please, reply all and tell me just how much."

Tip #4: Turn on Auto-advance

Fly through your emails when you finally get a chance to take a look at them! Auto-advance opens the next email instead of sending you back to your inbox.

Tip #1: Archive emails from the previous school year(s)

Archive moves emails out of your inbox - does NOT delete them! There's no reason to keep all the emails in your inbox. Move them out of the way!
