Hot deals about to close
Stuck deals needing intervention
Most CRMs don't calculate this automatically. They should.
Sort by priority. Work top-down. Never wonder "what should I do next?"

Stop relying on memory. Use a priority system:
Priority = (Deal Value × Close Probability) / Days Since Last Touch
This formula automatically surfaces:
High-value deals going cold

Is anyone working on this? Should we start?

Sales pipeline states
Activity history
Communication threads
Different CRM providers could interoperate while you keep control of your data.
Switching CRMs would be like switching Mastodon instances—your data moves with you.

Data portability (standard formats)
Consent tracking (when/how they agreed)
Most CRMs claim "GDPR compliant" but can't do #5.
Test it: Ask your vendor "How do I track consent basis for each contact?"
If they say "add a custom field," they're not really compliant.

Right to access (export their data)
Right to deletion (actually delete, not just hide)
Right to rectification (let them fix errors)

Call it what it is:
Auto-responder, not "engagement workflow"
Reminder, not "intelligent follow-up system"
Filter, not "AI-powered segmentation"
Clarity > buzzwords.

Sending an email when something happens
Moving a card between columns
Assigning a task
That's not a workflow. That's a trigger.
The CRM industry is full of buzzword inflation. We take simple concepts and rebrand them with fancy names to justify higher prices.

We optimize for sustainability and customer satisfaction.
That's why we can charge less and still build a great product.
Not every company needs to be a unicorn. Some of us just want to build good software.

The difference:
They spend millions on marketing
They pay enterprise salespeople
They have VC investors demanding growth
They optimize for exit valuation, not customer value

Hackers (if breached)
True E2EE means even the vendor can't read your data.
Yes, it makes some features harder. But privacy isn't supposed to be convenient. It's supposed to be secure.
Where's the ProtonMail of CRMs?

If your CRM can see your customer data in plaintext, so can:
Their employees
Their AI models
Law enforcement (with a warrant)

We're managing contacts, not relationships.
Maybe we need to rename the industry to "Contact Management Systems" and stop pretending it's personal.
Or... we could actually use these tools to build real relationships?
Just a thought.

Memory (what did we talk about?)
Context (what do they care about?)
Reciprocity (how can I help them?)
Trust (will I respect their time/data?)
But most CRM usage is:

Your CRM should alert you when deals exceed these timers.
This single change helped us reduce average sales cycle from 14 days to 8 days.
Time kills deals. Speed wins.

"New Lead" → Max 1 hour
"Proposal Sent" → Max 24 hours for follow-up
"Objection" → Max 2 hours to respond
When deals sit too long in a stage, they die.
